Here’s what you will do :

  • Managing the agenda of General Manager
  • Performing daily secretarial activities
  • Elaborating and drafting of documents and situations required by management
  • Providing administrative support for all departments of the company
  • Sending newsletters to ID Therapy clients
  • Inserting blog and site texts
  • Social media posts
  • Receiving payments from customers
  • Issuing invoices and receipts
  • Prepare client consultations and maps for each physician/psychotherapist
  • Preparing the logistics part the manager needs in organizing workshops
  • Answering all income calls, identifying the purpose and forwarding the call to the appropriate person
  • Scheduling consultations and ensure programming efficiency so there are no overlapping or uncovered time periods
  • Receiving visitors and announcing contact persons in the company
  • Ensuring protocol at meetings in accordance with daily requirements
  • Receiving, registering, distributing to the compartments involved, uploading and archiving correspondence and messages received from partners, clients and other employees
  • Drafting the business correspondence required to conduct daily business
  • Ensuring transmission of documents by mail, fax, e-mail
  • Updating the document database

Requirements:

  • At least 2 years experience on a similar position
  • University degree
  • Strong analytical thinking
  • Excellent knowledge of the English language spoken and written
  • Very good knowledge of MS Office ( Word, Excel, PowerPoint) and Web;
  • Good planning and organizing skills
  • Ability to focus on accomplishing multiple tasks at the same time
  • Ability to meet deadlines
  • Attention to detail
  • Responsibility, honesty and seriousness
  • Self-starter attitude, confidence and eagerness to learn
  • Problem solving attitude
  • High level of confidentiality
